RONA EDI requirements
RONA sends purchase orders (850) by EDI for its distribution centre and corporate stores, and requires every invoice, debit and credit back as an EDI 810 invoice, with a 997 acknowledgment. Suppliers that are not compliant with EDI and electronic funds transfer (EFT) are charged 1% of their payments.
The documents
| Document | Direction | What RONA expects | Specification |
|---|---|---|---|
| 850 Purchase Order | From RONA | Sent by EDI for the distribution centre and corporate stores. Orders from dealer stores still come by phone, fax or email. | Read and validate |
| 810 Invoice | To RONA | Every invoice, debit and credit, for every order, including the ones that did not arrive by EDI. Tax goes on TXI lines by province. | Read and validate |
| 997 Functional Acknowledgment | Both ways | RONA requests an acknowledgment on every interchange (ISA14 = 1). The 997 is exchanged from the parallel test on. | Not published yet |
Setup, schedule and rules
- Setup: exchange IDs and your supplier number, confirm your network, validate the connection and the envelope, then run a parallel test where paper stays the official document. Once both sides are satisfied, you move to production and paper stops.
- Schedule: RONA delivers to your mailbox 12 times a day, from 05:00 to 23:00, and picks up from its own mailbox 16 times a day, from 04:00 to 21:30.
- UPC: mandatory on items for the distribution centre and the corporate stores. Your item codes and RONA’s are for reference only.
- Tax: expected by the ship-to province (N1*ST), or the pick-up location when the invoice says pick-up. Québec takes two TXI lines, GST 5% (GS) and QST 9.975% (SP); HST provinces use TX.
- Format: X12 version 4010, with ~ as the segment terminator, ! as the element separator and > as the sub-element separator.
Non-compliance fee
| When it applies | Charge |
|---|---|
| Not compliant with the EDI and EFT transmission systems | 1% deducted from your payments (since April 1, 2018) |
As published in RONA’s EDI implementation guide (version 16, revised November 6, 2023). Your supplier agreement is what applies, so check the terms there. Invoice adjustments use the allowance and charge codes (SAC02) listed in the guide.

Questions buyers ask
What EDI documents does RONA require?
RONA sends the 850 purchase order for its distribution centre and corporate stores, and requires every invoice, debit and credit back as an 810 invoice. Both sides exchange the 997 functional acknowledgment. RONA’s guide is X12 version 4010.
What does RONA charge suppliers that are not on EDI?
Since April 1, 2018, RONA deducts a 1% fee from the payments of suppliers that are not compliant with its EDI and electronic funds transfer (EFT) systems, according to its EDI implementation guide.
Do I have to invoice RONA by EDI for orders that came by phone or email?
Yes. Orders from dealer stores still reach suppliers by phone, fax or email, but RONA’s guide requires all invoices, debits and credits to be sent by EDI.
Can I use any EDI provider with RONA?
RONA’s guide says suppliers are free to choose their EDI provider. It names Sterling Commerce as RONA’s network, so confirm with RONA’s EDI team how your provider will connect before you go to production.
