Amazon Vendor EDI requirements

Amazon sends its Vendor Central suppliers purchase orders (850) by EDI and expects the acknowledgment (855) within 24 hours, then an advance ship notice (856) within 30 minutes of the truck leaving, and the invoice (810). ASN problems are charged 2% to 6% of the product cost, depending on your compliance rate. This applies to Amazon.com and Amazon.ca vendors.

ASN and label rules

  • ASN timing: within 30 minutes of departure from your warehouse, or at least 6 hours before the carrier’s appointment at Amazon, whichever is sooner. It must reach Amazon before the appointment.
  • Matching: Amazon matches your ASN to the carrier’s delivery notice by ARN, PRO or bill of lading number, so get the carrier’s PRO before you send it.
  • Cartons: each carton carries a unique GS1 SSCC-18, in text and barcode, repeated in the ASN. A vendor live on the EDI 856 must use SSCC labels, not Amazon’s own carton codes.
  • Acknowledgment: the order is acknowledged in the 855 through EDI, the API or Vendor Central; the 855 is what updates the order in Amazon’s system.

Chargebacks

ViolationCharge
ASN problem (late, missing, structure mismatch), compliance above 95%2% of the product cost
Same, compliance from 70% to 95%4% of the product cost
Same, compliance below 70%6% of the product cost

ASN rates as summarized by SPS Commerce (updated October 2, 2025); the carton label charge is from Amazon’s North American vendor manual (2016). A chargeback can be disputed within 30 days of the charge date, and a rejected dispute has a second 30-day window (SPS Commerce, February 21, 2024). Your vendor agreement is what applies.

How you connect

Amazon vendors set up EDI themselves in Vendor Central (vendorcentral.amazon.ca in Canada), choosing AS2, SFTP or a VAN, then send test documents. Weredi connects over AS2 or SFTP directly. This page covers Vendor Central (1P); Direct Fulfillment and Seller Central have their own rules.

Questions buyers ask

How long do I have to acknowledge an Amazon purchase order?

24 hours, including backordered items, with an 855 sent by EDI, the API or Vendor Central. Any change to quantity, price or dates needs an updated acknowledgment within 48 hours.

When is the ASN due to Amazon?

Within 30 minutes of the shipment leaving your warehouse, or at least 6 hours before the carrier’s appointment at Amazon, whichever is sooner. Every shipment needs one.

How much are Amazon ASN chargebacks?

2% of the product cost when your ASN compliance is above 95%, 4% from 70% to 95%, and 6% below 70%, according to SPS Commerce’s summary updated October 2, 2025. You have 30 days from the charge date to dispute.

Does this apply to Amazon.ca vendors?

Yes. Amazon’s North American vendor rules cover Amazon.com and Amazon.ca; Canadian vendors use vendorcentral.amazon.ca and invoice Amazon.com.ca ULC in Toronto. Direct Fulfillment and Seller Central are separate programs.
