Deductions and chargebacks: building a dispute pack that gets paid

Match the reason code, attach the paper trail, and follow the claim until the money comes back.

A deduction is a retailer paying you less than the invoice and telling you why in a code. Many suppliers write them off because chasing them takes longer than they are worth. A dispute pack changes that math: the evidence is already in your EDI history, it just needs to be gathered.

The steps below work for any retailer that sends remittance detail in an 820 or a deduction report from its vendor portal.

  1. Read the reason code before anything else

The code decides which evidence matters. A late-ASN charge needs the 856 timestamp and the partner’s 997; a shortage needs the carton count and proof of delivery. Write down the retailer’s code and its plain-language meaning from their vendor manual.

  2. Pull the paper trail for that one PO

Every document in the order’s life, in order: what was ordered, what you confirmed, what shipped and when, what you billed.

  3. Write the claim in one paragraph

State the deduction, the fact that contradicts it, and the document that proves the fact. Nothing else. Reviewers on the retailer side read dozens of these a day.

“Deduction 4471-0093 for $1,284.00 cites a missing ASN on PO 4500012345. Our 856 was transmitted on October 9 at 14:30 and acknowledged by your 997 at 14:32, before the 18:10 delivery. Both are attached. We request reversal.”

Example claim. Replace the numbers with your own.
  4. Follow it until the money lands

A claim is not won when it is approved; it is won when a later remittance pays it back. Keep the deduction open until you can point to the payment line that reverses it.

Two ways to handle the same deduction

From scratch

  • Search mailboxes and portals for the right files
  • Screenshot timestamps from several systems
  • Track the claim in a spreadsheet

With the Weredi deduction ledger

  • Import the retailer’s deduction report (CSV or Excel)
  • Each deduction is matched to the invoice it reduces
  • Export the dispute pack as one PDF, in English or French

Questions

What is a retail deduction?

An amount a retailer subtracts from what it pays on your invoice, with a reason code: for example a late ship notice, a shortage or a compliance fee. See the most common EDI chargebacks to prevent them.

How long do I have to dispute a deduction?

Each retailer sets its own window in its vendor manual. Check it before you start, because a claim filed late is usually refused.

What evidence wins a dispute?

The documents that contradict the reason code: often the 856 with its timestamp, the partner’s 997 and proof of delivery. Weredi’s deduction ledger gathers them into one PDF.
